Web application and CMS development

Carter Medical wanted to offer a new online service to marketing companies that work in the Pharmaceutical sector. The service would enable them to get their marketing campaigns checked by compliance teams more quickly and efficiently than had been possible before.

Project requirements

Previously the marketing companies had been sending hard copy proofs of their marketing campaigns to their compliance teams (which consist of medical professionals and lawyers) in a ‘job bag’. The compliance experts would then check the documents inside and mark up the changes in red ink. This proofreading process was proving long and inefficient, and to Carter Medical the advantage of web technology was clear.

Our solution

Icreon proposed a Joomla CMS system that created a paperless proofing process done entirely online. Using Joomla made it a quick and efficient solution because it provided a solid base for the entire application that can be easily expanded with extra plug-in modules. To retain a familiarity with the old system, we developed a custom module that replicated the old ‘job bag’. The front-end of this job bag module – which is used by the marketing companies – includes two levels of user authorisation (account budget holder and authorised users) and through this the users can:

• Add and manage new jobs
• Calculate and manage the cost of a job
• Upload multiple files to a single job bag
• Review a job’s progress and add comments to it
• Receive invoices

In the back-end of the job bag module – which is used by the compliance teams – there are three user levels: job bag manager, job bag lead and job bag reviewer. The process here works as follows:

• The job bag manager can manage the price matrix and other users’ accounts
• The job bag manager can assign a job to a reviewer
• The job bag reviewer then receives an email notification about their assignment
• The job bag reviewer then downloads the file to review it and add their comments
• The job bag reviewer then uploads the amended file and marks the job as complete
• The job bag lead receives an email notification and reviews the completed job.

Icreon’s solution for Carter Medical has helped the company to increase its customer base globally by offering a much more efficient and cost-effective system for a niche market. It allows the compliance teams to employ more freelancers on their work and has led to huge time and cost savings for the marketing companies involved.
